WSDOH Data System Name Error … So Who Can Fix It?

This began when early in June 2021, I read on Facebook that the Washington State Department of Health (WSDH) was offering registration in order to be able to access vaccination records, and a certification of vaccination. Those vaccinated also could have their names entered into a state lottery.

I accessed the link provided and created a username and password, entered some of my personal information (name, DOB, address, phone number, where I received the vaccine). The system was not able to locate me.

I then called WSDH. A representative determined that the information I was providing was not under the name that I was providing, and suggested that I contact my Healthcare Provider.

So, I contacted PeaceHealth. I noticed that my name in the portal account page was incorrect (Robin R. Button). That gave me a clue as to how the problem may have originated. After explaining the situation, they told me that I needed to contact SeaMar, where I had gotten the vaccine. In PeaceHealth, all of my medical records were in my legal name. I responded to them, and according to their records supervisor, I had to go back to SeaMar.

So … I contacted SeaMar, and learned that my name was wrong in their system. How did it get that way? I didn’t know, nor did they. But they changed it … and then told me that they couldn’t submit the correction to WSDH. I had to contact my Primary Healthcare Provider.

And so … back to PeaceHealth. Another message through the portal (I’m glad I have all of this documented through their system). I’m waiting for a reply.

Meanwhile, I plan to go IN PERSON to SeaMar, and then to PeaceHealth. I will not let this rest. Stay tuned …

In Person Visit (July 5, 2021)

I printed out my emails from WSDH and also the responses I had gotten on the PeaceHealth portal. Then I drove to SeaMar. I explained my dilemma to the girl at the counter and noticed that all of the other attendants were listening in. They created a new COVID vaccination card, and told me that they would update the WSDH System.

I was leaving the parking lot to drive back home when I received a call from SeaMar. A supervisor had brought up my information on the State system, and could see the problem. She provided “the missing piece.” She said that ALL of my vaccination records were entered into the WSDH system under the name “Robin Robin Button.” This had been set up some time ago by PeaceHealth. Then, when I received my COVID 19 vaccine at SeaMar, the information went to this account under this name. Soooo …. it was back to PeaceHealth with this latest piece ….

I talked to Shannon, Dr. Sandeno’s nurse. She had heard about my problem from other staff. After explaining everything to her, she seemed to understand what the problem was. She asked if she could have the State of Washington email printouts that I had. She said that she would make sure it was taken care of.

Moving On …. I didn’t hear back …. so …. on July 20, I sent a message to Shannon through the PeaceHealth portal, asking for a status. She replied that she would check with her boss to see how things were going … really …. is it THAT hard to get this done? And so, as of July 21, Not Done Yet.

Then the COVID 19 cases started spiking. So I let go of this for the time being … hoping that eventually it would get taken care of.

September 6, 2021

STILL not resolved. Lynn had an appointment with our PCP at PeaceHealth. His nurse asked me, “is that still not taken care of?” I gave her printouts of the latest email from the WSDH along with a screenshot of the account info that showed the wrong name. And I included a letter authorizing them to remove me from the portal and start all over, if that is all they can do. Stay tuned for the next chapter ….
